Privacy Policy
Last updated: 19 October 2026
This policy explains how Auxide Assess handles personal data when institutions run examinations on our platform and when candidates take them. It is written to align with India's Digital Personal Data Protection Act, 2023 (DPDP Act).
1. Who we are and our role
Auxide Assess provides an online examination and proctoring platform. For examination data, the organising institution or employer (the "Organisation") decides why and how candidate data is processed and acts as the Data Fiduciary. Auxide Assess processes that data on the Organisation's behalf as a Data Processor.
For website visitors, demo requests and account administration, Auxide Assess acts as the Data Fiduciary.
2. Data we collect
Account data: name, email address and sign-in details (including Google sign-in, where used).
Examination data: assigned exams, answers, timings, scores, rubric marks and reviewer decisions.
Proctoring data, only with explicit candidate consent: webcam snapshots, check-in and ID photos, monitoring events (such as tab switches, fullscreen exits, face or phone detections) and, where separately consented, live camera or microphone streams viewed by authorised proctors.
Technical data: browser type, device information, IP address and connection status needed to run and secure the session.
Enquiry data: details you submit through the Book a demo form.
3. What we do not collect
Audio is not recorded or transcribed. Continuous video is not recorded. On-device speech checks record only that speech activity occurred, never what was said or by whom. We do not sell personal data or use examination data for advertising.
4. Why we use data
To deliver examinations, verify candidate identity, support live and post-exam review by authorised staff, calculate results, maintain audit trails, provide support, secure the platform and meet legal obligations.
Automated checks and AI tools only raise items for human review. They never make final decisions about marks, misconduct or results. Authorised people do.
5. Consent
Camera, screen sharing and fullscreen monitoring require explicit consent and browser permission before an exam begins. Microphone sharing has its own separate, revocable consent. Candidates may withdraw consent at any time; withdrawing may mean the Organisation cannot continue the proctored exam, and the Organisation will decide what alternative is available.
6. Who can access data
Evidence is stored privately and is available only to authorised staff of the Organisation under role-based access controls. Access to private evidence is logged. Candidates see their own exams and released results.
We use trusted service providers for hosting, authentication, email delivery and AI-assisted review, bound by confidentiality and data-protection obligations. We may disclose data where required by law.
7. Storage, security and retention
Data is encrypted in transit and protected with access controls, private storage and audit logging. Evidence retention is set by the Organisation; once a retention period ends, evidence is deleted unless law or an open review requires otherwise.
Some service providers may process data outside India, only where permitted under the DPDP Act and applicable government notifications.
8. Your rights
Under the DPDP Act you may request access to a summary of your data, correction, completion, updating or erasure, nominate another person to exercise your rights, and raise grievances. For examination data, please contact your Organisation first; we will assist them. You may also contact us directly via the Grievance Redressal page.
If your grievance is not resolved, you may approach the Data Protection Board of India.
9. Children
Where a candidate is under 18, the Organisation must obtain verifiable consent from a parent or lawful guardian before proctoring. We do not track, profile or target advertising at children.
10. Changes and contact
We will update this page when our practices change and notify Organisations of material changes. For privacy questions, write to invigil.auxide@gmail.com or see the Grievance Redressal page.
